Built from real frustration

Worklo wasn't designed in a boardroom. It was built by people who lived the problem every day.

Worklo started inside a student-run marketing agency managing 11 client accounts across 8 departments with 15+ members. Every week, the same question came up: "Do we have capacity for this?" — and nobody could answer it without hours of digging through spreadsheets, Slack threads, and Monday.com boards.

The team was running Basecamp, Monday.com, Notion, MS Planner, and Slack simultaneously. Each tool solved one problem and created three more. Onboarding new members meant teaching five different systems. Clients emailed constantly because they had no visibility. SOPs lived in 30-page PDFs that nobody read.

So we built Worklo — one platform that replaces all of it. Not a feature-padded enterprise suite, but a focused tool that answers the questions agencies actually ask every day.

Why we launched Worklo

Three specific pain points drove every decision we made.

The capacity blindspot

Every agency we talked to had the same problem: nobody knew if the team had room for new work until it was too late. Spreadsheets, gut feelings, and "ask around" were the only tools. We built real-time capacity planning so you can answer "can we take this?" in seconds, not hours.

SOPs nobody follows

Standard operating procedures written in Notion or Google Docs get ignored the moment a project gets busy. We replaced static documents with visual, enforced workflows — processes that guide your team through every step, with audit trails and automatic handoffs.

The client update loop

"Any updates?" — the three words every account manager dreads. Clients email because they have no visibility. We built a secure client portal that gives every client a live window into their projects, approvals, and feedback — without exposing your internal operations.

How we got here

Early 2025
The problem becomes undeniable
Running a 60-person student agency on five disconnected tools, we hit a wall. A major client project slipped because nobody knew two key team members were already at 100% capacity. That was the moment we decided to build something better.
Mid 2025
First prototype
We built a rough internal tool to track capacity and projects in one place. It was ugly, but it worked. The team immediately stopped using Monday.com for capacity questions. That validation pushed us to build it properly.
Late 2025
Full platform development begins
We rebuilt from scratch on Next.js 15, Supabase, and TypeScript. Added workflow automation, the client portal, RBAC, and analytics. Ran it internally across all 11 client accounts for six months of real-world testing.
2026
v1.0.0 — Public launch
Worklo v1.0.0 ships publicly. Full feature set: project management, time tracking, capacity planning, visual workflow builder, client portal, and enterprise-grade RBAC. Self-hosted, open source, and free to use.
